Booking Terms & Conditions

1. Scope

These Terms and Conditions of Booking (“Terms”) govern the contractual relationship between the guest (“Client”) and Villa Traiano Holding Ltd (company incorporated in England & Wales, registered office at 20 Wenlock Road, London N1 7GU, UK), owner of the property “Villa Traiano” in Benevento, Italy.
The operational management of the Hotel is entrusted to Villa Traiano Management S.r.l., Via dei Rettori 9 – 82100 Benevento (Italy).

By confirming a booking, the Client accepts these Terms in full.

2. Confirmation and Guarantee

A booking is confirmed only upon written confirmation sent by the Hotel.
A valid credit card is required as a guarantee. The Hotel reserves the right to pre-authorise the card prior to arrival.
For certain rates or packages, full or partial advance payment may be required.
Payments in cash are accepted within the limits imposed by applicable Italian anti-money laundering legislation.
All payments are processed in compliance with UK and EU consumer protection regulations.

3. Cancellation, Amendments and No-Show

Flexible Rate: free cancellation until 14:00 on the day of arrival; afterwards, the first night will be charged.
Non-Refundable Rate: full prepayment is required and is not refundable under any circumstances.
48-Hour Rate: free cancellation up to 48 hours before arrival; afterwards, the first night will be charged.
No-Show: in case of failure to arrive without cancellation, 100% of the stay will be charged.
Amendments to bookings (dates, room type, services) are subject to availability and may involve rate adjustments.

4. Check-in and Check-out

Check-in: from 14:00.
Check-out: by 12:00 noon.
Early check-in and late check-out may be available upon request, subject to availability and additional charges.
Valid identification documents are required for all guests at check-in, as per Italian law.

5. Prices and Additional Services

All prices include VAT, unless otherwise stated.
No local city tax (imposta di soggiorno) is applied.
Additional services (parking, minibar, transfers, room service, pets, etc.) are not included in standard rates and will be charged separately according to the Hotel’s price list.

6. Guest Responsibilities

Guests must respect the property, staff and other guests.
Any damage or loss caused to the Hotel or third parties will be charged to the responsible guest.
Pets are admitted only if expressly authorised at the time of booking and may incur additional fees.

7. Liability and Force Majeure

The Hotel shall not be liable for delays or failures caused by force majeure, natural events, or circumstances beyond its reasonable control.
The Hotel is not responsible for theft, loss or damage to valuables not entrusted to the reception safe.
Nothing in these Terms limits or excludes liability where such limitation is prohibited under UK law, Italian law or EU consumer protection law.

8. Data Protection

Personal data will be processed in compliance with the UK Data Protection Act 2018, the General Data Protection Regulation (EU) 2016/679 – GDPR, and the Italian Data Protection Code.
Data are used solely for managing bookings, fulfilling contractual obligations and complying with legal duties.

9. Applicable Law and Jurisdiction

These Terms are governed jointly by UK law (for matters related to the ownership company) and Italian law (for all aspects related to the stay and services delivered in Italy).
In case of dispute, the competent court is that of Benevento, Italy, without prejudice to mandatory consumer rights under EU and UK law.
